Admin Guide — Zevik for Zoho Books

Who this is for: the person setting up Zevik and connecting it to a Zoho Books organisation.

Before you start

Zevik is a separate subscription from Zoho. You need a Zevik account at zevik.io to use this extension. New accounts include a 14-day free trial, and no credit card is required to start.

You will also need permission to install extensions in your Zoho Books organisation.

Setup has four steps: create your Zevik account, get your API key, install the extension, and connect Zoho Books.

Step 1 — Create your Zevik account

  1. Go to zevik.io and choose Start Free.
  2. Confirm your email address.
  3. Complete your business profile — trading name, sender name, contact email and phone. This is what your clients see on the quote page.

Step 2 — Get your Zevik API key

  1. In Zevik, open Integrations from the left-hand menu.
  2. Find the API key card.
  3. Generate a key and copy it.

Keep this open — you will paste it in the next step.

Note: the API key is on the Integrations page, not under Settings.

Step 3 — Install the extension in Zoho Books

  1. In Zoho Books, go to Settings → Integrations & Marketplace → Marketplace.
  2. On the All Extensions tab, search for Zevik and click Install.
  3. Review and accept the permissions.
  4. During installation you will be asked for your Zevik API Key. Paste the key from Step 2.
  5. Complete the installation.

The extension adds five Zevik fields to your Quotes module and a Send with Zevik button to the quote screen.

Important: the API key field is optional at install, but the extension will not work without it. If you skip it, Send with Zevik cannot reach your Zevik account. You can add the key later by editing the extension's settings in Zoho Books.

Step 4 — Connect Zoho Books to Zevik

  1. In Zevik, go to Integrations.
  2. On the Zoho Books row, click Connect.
  3. Authorise Zevik on the Zoho consent screen.

Setup is complete.

What Zevik asks permission for

Zevik requests four permissions from Zoho Books:

PermissionWhy
Read settingsIdentify your organisation
Read estimatesImport the estimate you choose to send
Update estimatesWrite the Zevik fields and comments back to the quote
Create estimatesRequired by Zoho to change an estimate's status (sent, accepted, declined)

Zevik does not create new estimates. The create permission is required by Zoho's own status-change API, which Zevik uses to mark an estimate as sent, accepted or declined.

Zevik does not access invoices, banking, payroll, purchases, or any Zoho Books data outside the estimates module.

What Zevik reads

Only when you choose to send an estimate through Zevik:

  • Estimate contents — line items, totals, notes, terms, expiry date
  • The customer's name, email address and phone number
  • The estimate PDF

What Zevik writes back

Five custom fields on the quote record:

FieldWhat it holds
Zevik StatusWhere the quote stands
Zevik Client IntentHow much activity the client has shown
Zevik Recommended ActionWhat Zevik suggests you do next
Zevik Open ActionsAnything the client has asked for that you have not answered
Zevik Quote URLLink to the client's quote page

Plus timestamped comments as the client engages with the quote, and a status change on the estimate when it is sent, accepted or declined.

Zevik does not edit your line items, totals, or customers.

Will the Zevik fields appear on customer PDFs?

No. They are internal to your Zoho Books record and are excluded from customer-facing PDFs.

Disconnecting and uninstalling

Disconnect: In Zevik, go to Integrations → Zoho Books → Disconnect. Zevik stops reading from and writing to Zoho Books.

Uninstall: Remove the Zevik extension from your Zoho Books organisation. This removes the Zevik fields and the Send with Zevik button from your quote screen.

Where your data goes

Zevik uses service providers for hosting, storage, audio generation, email delivery, SMS delivery and payment processing. Some operate outside Australia. The full list and the safeguards that apply are in our Privacy Policy at zevik.io/privacy.
