User Guide — Zevik for Zoho Books

Who this is for: anyone sending estimates from Zoho Books.

What Zevik does

You create the estimate in Zoho Books exactly as you do now. Zevik handles what happens after you send it — it gives your client a proper quote page, records what they do with it, and writes the result back into your Zoho Books quote record.

Zoho Books stays your system of record. Zevik covers the gap after the estimate is sent.

Sending a quote

  1. Create your estimate in Zoho Books as usual.
  2. Open the estimate and click Send with Zevik.
  3. Zevik opens with your quote imported. If it is the first time, you will be asked to sign in.
  4. Review the quote details and the audio walkthrough Zevik has generated. You can edit the script before it goes out.
  5. Check the client's name, email and mobile number.
  6. Send.

Your client receives a link to their own quote page.

What your client sees

  • Your quote, presented clearly
  • A short audio explanation of what is included
  • Your business introduction video, if you have added one
  • The quote PDF, available to download
  • Buttons to approve, decline, ask a question, request a change, or request a call

What comes back into Zoho Books

Open the quote in Zoho Books and you will see the Zevik fields on the record:

Zevik Open Actions — anything the client has asked for that you have not answered. This is the field to watch.

Zevik Status — where the quote stands.

Zevik Client Intent — how much activity the client has shown.

Zevik Recommended Action — what Zevik suggests you do next.

Zevik Quote URL — opens the client's quote page.

The Comments panel on the quote shows a running record: when the client opened it, when they listened to the audio, when they downloaded the PDF, and when they asked a question.

Reading the fields

Open Actions is the one that matters. If it shows a question or a change request, the client is waiting on you. Everything else is context.

If Recommended Action says to monitor, the client has not done enough yet to act on. If it says to follow up, they have.

When a client asks a question

The question appears in Zoho Books as an open action and a comment, and in full in your Zevik dashboard. Reply to your client however you normally would — call, email or text. Zevik does not reply on your behalf.

When a client approves or declines

The decision is recorded, the estimate's status updates in Zoho Books, and a comment is added to the quote. You convert to an invoice in Zoho Books as usual.
